This is a working draft pending legal review. It describes our current practices in plain language; it is not a substitute for the final, counsel-reviewed policy.
Who we are and how this policy applies
happycampr provides employers with short, AI-guided voice “stay interviews” of their existing employees and analyzes the responses to surface feedback and reduce turnover. This Privacy Policy explains how happycampr handles personal information across our website and service.
When an employer uses happycampr to interview its people, the employer decides to run those interviews; happycampr processes the resulting information to provide the service on the employer’s behalf. If you took an interview and have questions about why, contact your employer’s happycampr administrator. Specifics about voice recordings and voiceprints are covered in our separate Biometric Retention & Destruction Policy, which this policy incorporates by reference.
Information we collect
From interview respondents: the audio recording of your interview, a derived voiceprint (a biometric identifier — see the Biometric Policy), the interview transcript, and basic session metadata (timing, the room the call ran in, and diagnostic information about how the call connected).
From administrators and account holders: your name and email address and basic profile information, obtained when you sign in with Google, plus the configuration and activity associated with your account.
Automatically: limited product-analytics and technical log data (such as device and browser information and interactions with the app) used to operate, secure, and improve the service.
How we use information
We use interview recordings and transcripts to generate stay-interview insights for the employer, and to operate, secure, debug, and improve the happycampr service — including improving the models that analyze interviews.
We use administrator account information to authenticate you, provide the service, respond to requests, and send service-related communications. We use analytics and log data to understand and improve how the product is used.
Signing in with Google
Administrators sign in to happycampr with their Google account. When you do, we receive only basic profile information (such as your name and email address) needed to create and authenticate your account.
happycampr’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically: we limit our use of this data to providing and improving the user-facing features of happycampr; we do not transfer or sell it to third parties such as advertising platforms, data brokers, or information resellers; we do not use it to serve advertising of any kind, including retargeting or personalized or interest-based advertising; we do not use it to determine creditworthiness or for lending; and we do not allow humans to read it except with your consent, for security purposes, to comply with applicable law, or where the data has been aggregated and anonymized for internal operations.
Service providers and sub-processors
We share personal information with vetted service providers who process it solely to operate the service on our behalf, under agreements that restrict their use of it. These include our cloud database, authentication, and storage provider (Supabase, running on Amazon Web Services — including the private, non-public storage bucket that holds recordings); our real-time voice infrastructure (LiveKit); AI providers that transcribe and analyze interviews (OpenAI and Google); our product-analytics provider (PostHog); and our AI-tracing provider (Braintrust).
Data is encrypted in transit and at rest by our infrastructure providers, and internal access to recordings and consent records is restricted to administrators.
AI processing of your interview
Your recording and transcript are processed by third-party AI models to produce a transcript and to generate insights for your employer. Our agreements with these AI providers restrict the use of your content to providing their services to us; we do not authorize them to use it to train their general-purpose models.
How we share information — and what we never do
We do not sell or rent your personal information, and we do not “share” it for cross-context behavioral advertising as those terms are used under California law. We disclose information to the service providers described above, to the employer that arranged the interview (in the form of insights), where required by law or to protect rights and safety, and in connection with a merger, acquisition, or other business transfer.
Data retention
We retain voice recordings and voiceprints for one year from the interview, after which they are deleted, as described in the Biometric Policy. At the start of an interview you are issued a one-time deletion code you can use to request earlier deletion.
We keep administrator account information for as long as the account is active and as needed to provide the service and meet our legal obligations, then delete or de-identify it.
Your privacy rights
Depending on where you live, you may have rights to access, correct, or delete your personal information, to obtain a copy of it, and to opt out of its sale or “sharing.” Because we do not sell or share personal information, there is nothing to opt out of, and we will not discriminate against you for exercising any right.
To make a request, contact your employer’s happycampr administrator or reach us using the contact details below. We will take reasonable steps to verify your identity before acting on a request.
Biometric information
Voiceprints derived from interviews are biometric identifiers regulated by the Illinois Biometric Information Privacy Act (BIPA) and comparable laws. How we collect, store, retain, and destroy them — and the consent we obtain — is described in full in our Biometric Retention & Destruction Policy.
Security
We protect personal information with encryption in transit and at rest, access controls that limit internal access to administrators, and private storage that is not publicly reachable. Our SOC 2 Type II examination is in progress. No method of transmission or storage is perfectly secure, but we work to protect your information and to address issues promptly.
Children
happycampr is a workplace tool intended for use by adults. It is not directed to children, and we do not knowingly collect personal information from children.
Where information is processed
happycampr is operated in the United States, and the information we collect is processed and stored there. If you access the service from outside the United States, you understand that your information will be handled in the United States.
Changes to this policy
We may update this policy as our practices or the law change. When we make a material change to the disclosures shown to interview respondents, we re-request consent before the next interview. The current version is always posted here.
